HX5 is currently seeking a Travel Coordinator within the Accounting department at the corporate office located in Fort Walton Beach, Florida.


 


Summary


 


The Travel Coordinator III assists, arranges travel services for staff by performing the following duties personally or through subordinate supervisors.


 


Essential Duties and Responsibilities


 


The duties in this position include the following:



  • Experience assisting employees in coordinating travel arrangements and processing employee expense reimbursements within the guidelines of the Joint Federal Travel Regulations (JFTR) and contract requirements

  • Experience reconciling credit card accounts, processing payments to employees, and assisting other areas of the accounting department as needed

  • Familiarity with the JFTR and the DoD environment is required; experience using SAPs Concur and Deltek Costpoint is helpful

  • Must be highly organized and customer-service oriented, with strong communication skills

  • Receives and prioritizes travel requests

  • Confers with travelers to determine destination, mode of transportation, travel dates, necessary accommodations, and budget required for domestic and international business travel

  • Imparts international travel information to travelers, such as passport, visa, and inoculation requirements, customs regulations, and currency exchange rates

  • Consults published and computer sources to analyze and evaluate commercial rates, lowest logical airfares, times, routings, and appropriate car rentals

  • Prepares tentative plans and suitable alternatives for approval by traveler and management

  • Assists in computing costs of travel, accommodations, and local transportation

  • Uses computerized reservation and ticketing systems to book transportation and hotel reservations, and issue itineraries

  • Prints or requests transportation carrier tickets or ticketless itineraries, using computer system or system link to travel carrier

  • Ensures all reservations are confirmed prior to travel

  • Tracks and audits travel activities, expenses, and payments

  • Evaluates, negotiates, selects, and procures vendor services

  • Other duties may be assigned; accounting experience in addition to travel a plus

Education and/or Experience


 



  • Six (6) years of related experience required.

  • Bachelors degree in related field preferred.

  • Three (3) years government contracting experience helpful.

  • Ability to demonstrate discretion, professionalism, and confidentiality a must.

  • Ability to maintain high level of attention to detail required.



 


Computer Skills


 


To perform this job successfully, an individual should have knowledge of Deltek software (CostPoint, Time and Expense) and Microsoft Office products.  Proficiency in MS Excel is preferred.

Position Type/Expected Hours of Work


 


This is a full-time position. Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
