Job Description Summary
Bentley University is seeking applicants for the position of Technical Coordinator for the Academic Technology (AT) department. The role of Academic Technology is to enrich scholarly initiatives and student learning by empowering faculty with state-of-the-art academic, information, and communication resources. The Technical Coordinator position reports to the Director of AT and is an integral part of the team. This candidate primarily manages the day-to-day functions of the department and provides technical assistance to faculty. The candidate in this position serves as the first point of contact for all walk-ins, answering questions and responding to the main department phone and email.

Essential Duties
  • Act as first line of support for all incoming calls and walk-ins
  • Provide technology support over the phone, email, remotely and in-person at the AT front desk
  • Provide first line one-on-on technical assistance for all faculty using Blackboard (Bentley's Learning Management System) to be escalated to other AT staff
  • Ideal candidate will be trained, if they are unfamiliar with LMS systems such as Blackboard, to create, modify, and support the LMS (Blackboard) course websites used at Bentley University
  • Supports day-to-day administrative operations of the department, including but not limited to: organizing, ordering, and tracking software inventory, scheduling and supporting Zoom meetings (web conferencing), procuring, demonstrating, and supporting instructional software, assisting faculty in using computer workstations in the department, monitoring and responding to mail in the AT mailbox, ordering supplies and assisting the AT staff (15 FTE) with administrative tasks
  • Assisting the Manager of Operations and Infrastructure with budget and other financial needs including processing purchase orders and invoices, coordinating student staff budgets for all department sub-units
  • Scheduling monthly AT faculty workshops and updating the online workshop calendar
  • Scheduling department meetings and maintaining agenda and minutes, organizing department digital and physical documents
  • Maintain department's physical office space and technology resources
  • Identify issues requiring assistance from Facilities Management, IT, or other offices or vendors outside of the department
  • Triages phone calls and support requests to appropriate academic technology team members
  • Supervise student staff (3-5) and all related functions including hiring, training, payroll processing, coordinating work schedules
  • Fielding requests for new academic databases and software, helping to design such systems with MIS staff, and supporting users. Responsible for organizing and tracking academic and research software inventory.
  • Ad Hoc projects and other tasks as assigned by the director or other department managers
  • Maintain door locking systems and current and future key systems and processes for academic buildings and media equipment closets for student access
  • Building Manager for the Adamian Academic Center


Minimum Qualifications
  • Bachelor's degree in relevant field (education, business, or equivalent) or three years of job-related work experience
  • Budget management experience using Excel and Word for budget analysis and reporting helpful
  • Strong administrative skills with prior experience in an administrative setting
  • Excellent written and oral communication skills
  • Excellent customer service support, interpersonal and problem-solving skills
  • Ability to multi-task and work under pressure
  • Experience with Office 365 or other related collaboration platforms is required
  • Strong attention to detail is critical


Preferred Qualifications
  • Experience working in a higher education setting as well as technical experience using Learning Management System (e.g. Blackboard) a plus


Work Environment
  • Through much of the workday, Technical Coordinator functions within the confines of the office of Academic Technology.
  • The Coordinator may occasionally be expected to work beyond standard hours when this is necessary to meet extraordinary client demands. On rare occasions, the Coordinator may be required to be on call during more extended periods.
  • The tasks of the Center include product development, testing, and demonstration, so the Coordinator should be able to work in a busy environment.
  • Physical Skills: The position of Technical Coordinator has no special physical requirements.
  • Physical Effort: The position of Technical Coordinator requires no extraordinary physical effort. However, a large proportion of the workday is spent at a desk and at a computer.
