Job-Specific Responsibilities
This is a 2 year term appointment with possibility of continuation past 2021. The position will be reviewed no later than April 2021 to determine its continuation based on budget and department/HDS needs beyond September 2021.

The Religious Literacy Project (RLP) at Harvard Divinity School is dedicated to enhancing and promoting the public understanding of religion. Under the direction of Professor Diane Moore, it provides resources and special training opportunities for educators, professionals, interfaith/multi-faith groups, students, and others wishing to better understand the complex roles that religions play in contemporary global, national, and local contexts. RLP seeks to advance awareness, to train both religious and secular leaders and to partner with others to help them respond to current and future challenges. RLP is currently organized under three core initiatives - the Religious Literacy and Education Program (RLEI), the Religious Literacy in the Professions Initiative (RLPI) and the Religion, Conflict and Peace Initiative (RCPI). Over the next 3 years, RLP seeks to significantly expand the reach and relevance of its efforts, through a wider range of offerings and expanded partnerships. Reporting to the RLP Associate Director, the RLP Staff Assistant is a core member that is responsible overall business administration including internal systems, financial management, event planning and logistics, building and supporting RLP online communities, communications support and day-to -day operational support.

Responsibilities
Financial administration (30%)
  • Work with Associate Directors to prepare various RLP budgets & budget reports
  • Processes invoices, reimbursements & other financial transactions
  • Track budgets, runs & analyze budget reports & works with Associate Directors to make corrections, request journals, and ensure coding for all spending is correct
  • Work with RLP team to negotiate & create contracts with outside vendors
  • Reconcile P-cards & corporate cards
General administration (20%)
  • Develop & maintain information management (SharePoint) systems for all RLP programs
  • Build & support information systems, strengthening internal processes to ensure compliance with University requirements
  • Ensure smooth day-to-day flow of communication within RLP
  • Serve as IT point person for the RLP
  • Perform basic office functions such as purchasing and maintaining and inventory of supplies and submitting maintenance requests
  • Directly support RLP Director in all RLP-related administrative functions including managing calendars, scheduling, appointments and travel, arranging and coordinating internal and external meetings, processing reimbursements, etc.
Logistics & Events (20%)
  • Provides full logistical support to the planning & execution of RLP public events, J-term programming, fellowship programs & internship programs. Includes agendas, materials preparation, travel, catering, promotion, reimbursements & audio-visual support.
  • Make travel arrangements for RLP staff & in connection with RLP programming (visitors, fellows, etc.)
Build & support RLP online communities (15%)
  • Build & maintain outreach/contact databases for RLP programs
  • Help to advance strategies of online community development for our network of educators, professionals, & online learning alumni, identifying software & digital tools to connect segments of this network & productively share resources
  • Analyze strategies of influential academics & thought leaders for building community across platforms
  • Broker community information requests to Professor Moore & RLP team
Communications support (15%)
  • Monitor & maintains RLP website
  • Curate RLP public email accounts, responding to inquiries
  • Contribute to RLP social media presence
  • Prepare reports on program participation, survey results, & participant feedback
  • Assist with program & donor reports


Basic Qualifications
  • At least three years of professional work experience

Additional Qualifications
  • Bachelor's degree preferred.
  • Strong familiarity with Office365 & ability to learn new software applications, databases and CRM systems
  • Demonstrated proficiency & experience in financial administration (working with budgets, expenditures, financial reporting, etc.)
  • Experience in organizing & interacting with social media communities
  • Excellent communications, organizational & interpersonal skills
  • Detail-oriented & able to initiate & spearhead multiple projects simultaneously and independently. Experience prioritizing & managing multiple competing deadlines & requests from multiple sources
  • Ability to work independently and with a team
  • Experience working directly with or for a senior executive for faculty member in an Executive Assistant capacity
  • Experience in academic environment a plus; Familiarity with Harvard preferred
  • Must thrive in small entrepreneurial environment that is mission driven
