Responsibilities:
  1. Provide administrative support to administrators and directors within the Center of Petrochemical Energy & Technology (CPET) Building; duties to include, but not limited to, class rosters and daily schedules, textbook adoptions support, order supplies, process EPAFs, and blackboard support.
  2. Interface daily with students, administrators, various departments, visitors, staff, and faculty.
  3. Enter Student Data for new, transition and current students, i.e.; maintain various computer based records/files, create classes and assist with course substitution forms.
  4. Schedule and coordinate multiple meetings and room reservations to include Faculty, Advisory Board, Job Fair, Information Sessions and New Student Orientations. Record and transcribe meeting minutes.
  5. Work with Administrators, Directors, Department Chairs and Division Operations Coordinators by initiating class cancelations, development of class schedules and catalog revisions (i.e. updates to program promotional brochures, materials, or website).
  6. Prepare and process requisitions and invoices as needed and Banner entry via several banner programs.
  7. Maintain affiliation agreements, career cluster six-year plans and agreements, and complete ad hoc projects, as assigned.
  8. Coordinates travel arrangements, hotel, and parking reimbursements.
  9. Performs general office duties such as: type letters, memos, substitute forms, and reports to include state reporting as required.
  10. Work with Administrators & Directors to develop and submit documentation for continuing education classes and events.


Marginal Job Functions:
  1. Proctor and order exams as needed.
  2. Collect and process end of course folders.
  3. Order inventory supplies and submit expenses.
  4. Coordinate facilities for classroom use, including maintenance requests.
  5. Attend professional growth seminars and webinars as required for continuous improvement of instructional and support strategies.
  6. Other duties as assigned.



Knowledge, Skills and Abilities:
  • Must project a professional image.
  • Have excellent telephone etiquette and communication skills.
  • Proficient in Microsoft Word, Excel, Banner, and Windows.
  • Must be extremely accurate and have excellent proofreading, grammar and spelling skills.
  • Must be able to work in a team environment, be flexible with good public relations skills.
  • Work well with details and deadlines.
  • Balance multiple tasks.
  • Analyze and solve problems.
  • Work independently in a fast-paced office environment.






Required Education:
  • High School Diploma or equivalent required (GED)

Preferred Education:
  • Above requirement plus one (1) year of specialized or technical training beyond high school

Required Experience:
  • Two (2) years of office clerical or administrative support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job.
  • Basic skill level in Microsoft Office - Word, Excel & PowerPoint.

Preferred Experience:
  • Above experience including one (1) or more years in a higher education environment.




Salary Grade: 14
