Position Purpose


Reporting to Service / Parts Manager, the primary purpose of the Service, Parts & Operations Administrator is to, process returns, receipts, invoices, and other related documents for the parts and service departments for a given location(s). This person is also responsible for incoming service calls, all parts and service daily transactions and other operational demands.

Duties and Responsibilities


Administrative


• Opens and maintains repair orders

• Handles incoming calls and coordinates service work for remote location

• Posts all labor to repair orders and prepares payroll recap reports

• Review parts requisitions and invoices, verifying the correct pricing, quantities and parts are billed

• Administer and maintain the records of all returned & warranty items including parts, complying with company guidelines

• Receive daily parts by verifying part numbers, quantities and allocate them to the proper bin location or internal/external customer as required

• Maintains all shop and office supplies levels for multiple locations

• Prepares and administers all pumper test documents

• Assists with inventory maintenance and cycle counts

• Attend all departmental meetings and maintain good working relationships with all fellow employees

• Maintain department safety standards, organization and cleanliness

• Additional tasks, duties or direction as assigned by management


Customer Satisfaction


• Maintain excellent customer relationships through immediate conflict resolution

• Provide support and clear communications to internal customers

• Positively interact with factory representatives, vendors and support personnel


Skills and Experience


• Ability to manage multiple tasks simultaneously and successfully

• Demonstrated ability to effectively manage highly detail oriented job responsibilities

• Team oriented attitude

• Excellent people and customer relations skills

• Accounting experience and/or training preferred

• Dealer Operating System experience preferred, CDK experience a plus

• Advanced Microsoft Office skills to include Excel and Word required

• At least 2 years customer service/repair industry experience preferred

• Parts, service or warranty administration experience strongly preferred

• 4 year degree or combination of secondary education and equivalent experience required
