Amgen is seeking a Senior Executive Assistant (SAE) based out of our global headquarters in Thousand Oaks, CA who will support critical change initiatives for the Research and Development (R&D) organization and at times for the corporation.

Reporting to the Vice President - R&D Transformation, the Senior Executive Assistant will be responsible for providing senior level administrative support, primarily to the Vice President - R&D Transformation and also to his/her staff members but will also provide project management supporting R&D transition staff and cross-functional team members. The SEA's administrative work assignments will involve interactions with high level, international executives both internal and external to Amgen, as well as team members across all facets of Amgen.

The R&D Transformation Office leads critical initiatives that are key to Amgen's strategy and future performance objectives. The organization partners with leadership and subject matter authorities to diagnose areas of improvement, co-create solutions and successfully execute the highest priority efforts to enable growth and improve efficiency across R&D or at a corporate level as necessary. Areas of transformation include strategy, capability building, technology and process improvements, and culture change.

Key responsibilities of the Senior Executive Assistant - R&D Transformation Office will include:
  • Proactively handles the executive's calendar with a focus on efficient time utilization and time conflict management, ensuring that the VP is appropriately represented at all forums
  • Answers questions / furnishes information to keep the executive's time free of minor detail work, including screening and directing incoming meeting invitations, calls, and correspondence
  • Plans and organizes work to ensure the executive has appropriate time to perform his/her duties and to be present on time and prepared for his/her commitments
  • Prepares the VP with pre-read and briefing documents in advance of daily meetings
  • Coordinates arrangements for and execute key tasks to effectively handle a variety of global business meetings utilizing Skype/Cisco and Telepresence technologies
  • Maintains a keen awareness of and sensitivity to global time zones, as the team covers a multi-site organization and many of our staff and clients are based outside of Thousand Oaks.
  • Acts as a liaison between groups under the responsibility of the executive and other groups that the team interact with them
  • Reviews, prioritizes and flags high priority communications (emails and documentation)
  • Schedules, coordinates, and tracks events related to the Transformation Office as well as the client function, including site visits, all-staff meetings and special events
  • Coordinates domestic and international travel arrangements amidst dynamic business requirements
  • Prepares and processes expense reports, purchase orders, and catering
  • Creates, maintains, and reconciles spreadsheets/smart sheets, or other tools such as Trello, to run projects
  • Uses internal contacts to provide prompt responses to inquiries from staff at all levels of the various organizations impacted by the client
  • Composes and edits correspondence on behalf of the VP
  • Handles multiple priorities in a continually changing environment
  • Maintains an unyielding level of confidentiality and integrity with all information that flows through the role


Basic Qualifications:

Associate's degree and 4 years of administrative experience

Or

High school diploma / GED and 6 years of administrative experience

Preferred Qualifications:
  • Bachelor's degree and direct experience supporting a senior executive for a large corporation
  • 10+ years of Administrative Assistant experience
  • Amgen experience
  • Complete discretion and confidentiality, as well as judgment, creativity, flexibility and initiative in resolving issues
  • Possess fundamental presentation skills (speaking in front of medium to large groups while using appropriate AV equipment).
  • Ability to work in a fast-paced environment
  • Experience working in biopharma industry
  • Ability to prioritize projects of greater urgency and importance
  • Authoritative level PC skills in MS Word, PowerPoint, Excel, database skills, SharePoint and advanced typing skills
  • Teammate
  • Excellent written, verbal, and presentation skills in presenting key business and clinical information
  • Excellent time management and project management skills
