Who We Are:

Fermilab is America's premier laboratory for particle physics and accelerator research, funded by the U.S. Department of Energy. We support discovery science experiments in Illinois as well as other locations around the world including; deep underground mines in South Dakota and Canada, mountaintops in Arizona and Chile, and additionally the South Pole.

Fermilab's Chief Project Office (CPO) seeks an Project Office Coordinator (Program Administrator II) to provide overall coordination of office functions, including support for Process Systems Development and Implementation, and for Review Organization and Execution.

You Will:
  • Together with the CPO and Office Project Support Services (OPSS) , help identify opportunities for improved efficiencies across the Office of the CPO and the associated Process Systems
  • Help develop and maintain tools to support the Office of the CPO and the associated Process Systems, including serving as site owner for the associated web pages
  • Serve as the primary administrative contact for organizing reviews, including drafting the charge, identifying and communicating with reviewers, and organizing the appropriate parallel sessions
  • Serve as the primary administrative contact during reviews, helping to address the logistical needs of the committee, and facilitating efficient communication among the laboratory, project, reviewer, and DOE participants
  • Create, populate, and maintain SharePoint web pages and other relevant web-based interfaces for reviews hosted by the office of the CPO
  • Help organize and facilitate meetings of the relevant working groups for the Office of the CPO, including the Project Management Advisory Group, Project Managers Working Group, and Project Controls Committee, including scheduling, invitations, room reservations, minutes, etc.

We Are Looking For:
  • Bachelor's degree with a minimum of 5+ years of expereince in relevant field
  • Strong organizational skills
  • Strong written communication skills
  • Excellent English language skills
  • Ability to perform efficiently and professionally under pressure
  • Aptitude for focusing attention on detail
  • Ability to discern the required protocols and to execute accordingly
  • Proficient in creating and maintaining SharePoint web sites
  • Proficient in utilizing standard word processing and presentation applications such as Microsoft Word, Google Docs, PowerPoint, Keynote, and Google Slides and in translating amongst them
  • Ability to think strategically to identify opportunities for improvement and to recognize upcoming challenges and risks
  • Previous experience with the DOE 413.3b review process, preferred
  • Previous experience or training in project management or process systems or associated fields of expertise is advantageous

  • Ability to work at a computer for extended periods of time.
  • Willingness to occasionally work beyond the normal workday and possibly weekends, during critical reporting periods.
