Reporting to the Executive Director, Talent Management & Development, the Associate Project coordinator will be responsible for providing a combination of senior level administrative support and project support for key project for the Corporate Talent Team.

Responsibilities include:
  • Managing multiple calendars and scheduling meetings
  • Process support for Talent Reviews including communication of templates and timing, collection and consolidation of material; keeping version control
  • Process support for the corporate MAP process as need including communication templates and timing, collection and consolidation of materials
  • Assisting with logistics and tracking related to developmental programs and executive coaching
  • Managing POs and invoices for developmental programs and executive coaching; acting as liaison between suppliers and Accounts Payable
  • Professional interactions with high level executives
  • Monitoring Staff Relations inbox; ensure actions are accounted for and messages are properly filed
  • Managing shared Box site for Talent team
  • Booking domestic and international travel arrangements utilizing company guidelines
  • Timely preparation and processing of expense reports
  • Organizing meetings, booking rooms, including logistics, catering and equipment needs
  • Managing multiple priorities in a continually changing environment
  • Maintaining confidentiality in communications and data
  • Performing other administrative duties and miscellaneous projects


Basic Qualifications:

Associate degree and 4 years of administrative experience

OR

High school diploma / GED and 6 years of administrative experience

Preferred Qualifications:
  • Bachelor's degree and direct experience supporting a senior executive for a large corporation
  • 5+ years of Administrative Assistant experience
  • Amgen experience
  • Ability to work in a fast-paced, deadline-driven environment
  • Experience working in biopharma industry
  • Ability to prioritize projects of greater urgency and importance
  • Excellent written, verbal, and presentation skills in communicating key business and clinical information
  • Expert level PC skills in MS Word, PowerPoint, Excel, database skills, SharePoint and advanced typing skills
  • Team Player
