Position Purpose

The Program Officer for the Rockefeller Center works closely with the Associate Director for Curricular and Research Programs and other program staff to implement undergraduate curricular and research programming as well as faculty research programming. The Officer serves as a manager of key curricular and research programs, including the academic management of Oxford-Keble College Exchange Program, the Rockefeller Faculty Grants Program, and the Faculty Research Workshops supported by the Center. The Program Officer also serves as the staff administrator for the public policy minor, under the direction of the Associate Director. The Program Officer also supports the Associate Director in administering the Class of 1964 Policy Research Shop, the Senior Honors Thesis Grant Program, and the Faculty Classroom Enhancement Grant Program.

Key Accountabilities

Key Accountabilities

Curricular Program Planning, Implementation, Monitoring and Evaluation (35%)

  • Plans and implements assigned programs of existing undergraduate and faculty curricular and research programs, including the Oxford-Keble College Exchange Program, Senior Honors Thesis Grant Program, Faculty Classroom Enhancement Grant Program, the Rockefeller Faculty Grants Program, The Class of 1964 Policy Research Shop in consultation with the PRS co-managers, and the Faculty Research Workshops supported by the Rockefeller Center. Engages in all aspects of the process from content development to logistics coordination to participant interaction.
  • Conducts research and acquires background information needed to develop assigned programs; prepares reports and provides informational briefings.
  • Responsible for continuous quality improvements and implements recommendations for increased efficiency and quality in consultation with the Associate Director.
  • Coordinates and implements the application, selection, and award process for assigned programs.
  • Facilitates selected sessions in certain assigned programs.
  • Communicates and coordinates regularly with assigned programs' guest speakers and maintains excellent relationships with outside vendors, campus partners, and other stakeholders that relate to assigned programs.
  • Serves as the campus liaison for assigned programs and events.

Academic Administration (35%)

  • Manages the day-to-day administrative functions and activities attendant to the public policy minor, including establishing internal deadlines and priorities to meet external ones—course-related deadlines for Registrar, Dean of Faculty, Divisional Council, College committees and COI ; financial deadlines with payroll, accounts payable, P-card transactions/reconciliations.
  • For each academic term, meets registrar deadlines, files course approvals, edits timetable, produces final grade reports, maintains Center bulletin boards for curricular and research programs, assists in textbook orders, assists in posting class readings to Canvas sites,
  • Prepares teaching schedules for all faculty teaching in public policy curriculum.
  • Provides logistical support for faculty teaching in the public policy curriculum.
  • Interprets and applies college-wide policies, ensuring department adherence.
  • With Associate Director, may formulate and implement curricular department policies.
  • Coordinates post-doctoral fellow search processes.
  • Maintains relationships with administrative offices in the social sciences, the Associate Dean for the Social Sciences, the Registrar, the Guarini Institute, and the Finance Center on behalf of the Curricular and Research Programs of the Center.
  • Manages the Curricular department's facility requirements in consultation with the Finance Manager, coordinating with FO&M for upkeep, repair and renovations as necessary.
  • Purchases supplies and equipment for the Curricular department.

Outreach and Marketing (15%)

  • Conceptualizes plans and executes student outreach for assigned programs and class offerings.
  • Plans and implements the design and execution of promotional and informational materials with input from the Associate Director.
  • Responsible for providing program and event schedules, summaries, information, and any related materials for internal and external communication purposes, to include Donor Relations and Stewardship.
    Advises students about classes and programs offered by the Rockefeller Center.

Administration and Finance (15%)

  • Provides financial administration for all curricular and research programs.
  • Provides office management for associate director, public policy faculty, and post-doctoral fellows.
  • Responsible for budgeting and monitoring expenses and managing financial documentation related to assigned programs in consultation with the Finance Manager.
  • Maintains components of the Rockefeller Center website attributable to Curricular and Research Programs
  • Participates and contributes to weekly, quarterly, and annual planning meetings with the entire staff.
  • Organizes and manages print and digital records, faculty and staff correspondence, and other files in the Center for assigned programs and assists in updating and maintaining Center databases under the direction of the Associate Director.
  • Hires, supervises, and trains student program assistants to assist with administrative responsibilities for assigned programs.
