Job Summary:

The Ad Council is looking for an Operational Account Payables and Payroll Manager responsible for account payable and payroll functions. This role will manage high volume processing of AP and expense reports, bi-monthly payroll and have a full understanding of the organization's policies for expense reimbursement.

What you'll do:

Duties: Operational Expenses

  • Data entry of all non-campaign vendor bills upon approval by department personnel
  • Review all employee travel and expense reports for compliance with all company travel and expense reimbursement policies
  • Assist the SVP, Controller when processing payment via Check, ACH and submit to authorized bank signers
  • Oversee the Employee advance, Prepaid account reconciling periodically for balance to remain current along with employee T&E reimbursement account.
  • Work with the Director of Financial Reporting to clear and reconcile all non-current outstanding check transactions via the monthly bank reconciliation process.

Duties: Payroll

  • Preparation and submission of computerized semi-monthly payroll utilizing ADP payroll software
  • Obtain New hire checklist form from Talent to set up employee in the payroll system for processing
  • Approve any employee request submitted via ADP regarding their profile for example, Tax withholding, Direct Deposit, and address change
  • Submit 403(b) voluntary withholding file to plan administrator for ACH debit funding
  • Prepare quarterly 941 detail reconciliation.
  • Maintain and open any NEW state jurisdiction when needed.
  • MUST have ADP WORKFORCE EXPERIENCE

Duties: Other

  • Act as backup support to Staff Accountant for Daily Cash Deposit reporting.
  • Administer Company Petty Cash Fund.
  • Prepare copies for the Campaign Billers for all T&E related to client billing on a monthly basis.
  • Maintain the AP and payroll files.
  • Monitor Retiree monthly payments of Health insurance (APBO)
  • Perform monthly departmental expense analysis
  • Reconcile balance sheet liability accounts per direction of SVP, Controller.
  • Preparing Monthly Closing entries at direction of SVP, Controller.
  • Support SVP Controller in all aspects of the annual audit and fulfilling request to the auditors.

The compensation for this position is within the range of $75,000 $85,000 (based on experience level). The compensation package also includes an annual incentive, comprehensive benefit offerings, and generous paid time off.

What you'll bring:

  • 3+ years payroll and/or accounts payable experience in a small or mid-size company. Advertising industry experience not required. Essential that experience include several years working in a comparable computerized environment using online ADP Workforce.
  • Excellent personnel computer skills including MS Office (Excel, Word, Outlook), use of outsourced payroll and accounts payable software such as ADP and Microsoft Solomon Dynamic required.
  • Well-organized; good analytical abilities; effective oral skills in explaining organization policies for vendor and employee expense reimbursement, self-starter; flexible in handling variety of responsibilities; detail-oriented and mature, capable of meeting all deadlines under pressure.
