Job Description

Tiedemann Advisors is looking for an Office Manager/Receptionist and Administrative support associate who will spend their time on office management for the Seattle location, as well as providing administrative support to Managing Directors. The position requires strong administrative skills, an ability to think proactively, strong attention to detail and the ability to interface with professionalism with senior executives, prospects and intermediaries in a fast-paced environment. The role will report to the Co-Head of the Seattle office/Chief Marketing Officer. A high degree of proficiency in Microsoft Office (especially Excel, PowerPoint and Word) and Salesforce are important, as well as a general ability to quickly master new technology. A professional, positive and pleasant attitude is a must.

Job Responsibilities

  • Proactively order supplies, maintaining office cleanliness, main contact with building management, sort and distribute mail and faxes, prepare overnight mail, troubleshoot office needs, etc.
  • Answer telephone calls (respond and screen, as appropriate) for Seattle office
  • Greet and welcome visitors to the office
  • Track and issue office badges
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook and issue visitor badges)
  • Provide administrative support for Managing Directors in the office and manage their calendars and schedules, answer phones and provide accurate messages
  • Troubleshoot scheduling conflicts as they arise
  • Arrange business travel and accommodations
  • Process monthly expense reports and company invoices for payment for Managing Directors
  • Coordinate and schedule conference calls and meetings
  • Print and bind materials for Advisors in Seattle office
  • Manage business supplies with marketing team and office admins (business cards, collateral, ordering, etc.), coordination of ordering and distribution of promotional items, and managing incoming website email to route and log information
  • Additional administrative support as needed to the Marketing team such as formatting documents, tracking event RSVPs, updating presentations, researching event locations, catering menus, etc. as needed
  • Take on ad-hoc projects as time permits
  • Perform other related duties as assigned
Qualifications

  • Bachelors degree required
  • Ability to interact with the strictest confidence, professionalism and respect with all levels of executive management, support staff, clients, etc.
  • Excellent verbal and written communication skills
  • Highly organized, with relentless attention to detail and proofreading
  • Ability to use critical intelligence in understanding our business and the contents of work product
  • Ability to multi-task and prioritize in a highly visible, fast-paced, team-oriented environment
  • Strong administrative and problem-solving skills
  • Self-guided and highly responsive; essential to keep track of and report on progress of projects
  • Must have personal pride in providing high quality, error free work no matter how large or small the task
  • Overtime as needed, timely completion of deadlines imperative
  • Advanced Microsoft Office and Salesforce skills especially Excel, Power Point and Word
  • General ability to quickly learn new technology
