Amgen is seeking a Senior Associate-Meetings Management-Latin America & Canada (LACAN) who will be part of Amgen's Global Meetings Management team and will report to the Senior Manager of Global Meetings Management. This position will be responsible for managing the strategic meetings management program for Amgen in the LACAN region (5 affiliates.) The Senior Associate, Global Meetings Management LACAN will work out of the Amgen Capability Center located in Tampa, Florida.

Primary responsibilities will include the following:

  • Overseeing operations and meeting process
  • Data integrity and validating Cvent information from agency(s)
  • Ensure agency(s) is developing and executing effective programs within scope, on time and within budget
  • Ensure spend data is captured accurately in meeting management technology platform (Cvent Super User)
  • Ensure roles & responsibilities are clear when working with multiple agencies
  • Ensure compliance to all policies and procedures by both the budget owners and all outside agencies
  • Monitor and report to management compliance to internal and external policies
  • Provides expert guidance on best practices for meetings & events
  • Provide guidance and resolution to supplier on hotel and travel escalation issues to mitigate risk
  • Development and ownership of Strategic Meeting Management Programs (SMMP) process development and training for meetings program
  • Work with the EMEA & Americas Congress Managers to support the centralization of congress services across regions
  • Ensure Lanyon/Cvent technology is in place for all meetings and working closely to C3 environment
  • Ensure training on processes and tools for Amgen new hires
  • Agency management and training
  • Partner with business on developing and executing program objectives (data, etc)
  • Drive the accountability of compliance with internal Amgen policies and procedures to ensure consistency, operational efficiencies and integration within audit requirements.
  • Collaborate with business partners to identify areas for continuous organizational improvements
  • Supplier Relationship Management (tracking of SLAs & KPIs) - single point of

contact for issue escalation
  • Management of venue find services provided by agency
  • Work closely with Global Meeting Management (GMM) team on process improvements and strategic initiatives
  • Ownership of budget and data reporting management, QBR's & KPI's
  • Provision of consultancy services and best practice process support for the delivery of outsourced services such as: Locations and logistics, Hotel accommodation, Transport services, Quality standards
  • Maintains strict confidentiality of employee, financial and company records
  • Other duties as assigned


Basic Qualifications

Masters degree

OR

Bachelor's degree and 2 years of pharmaceutical meetings experience or another highly regulated industry meetings experience

OR

Associate's degree and 6 years of pharmaceutical meetings experience or another highly regulated industry meetings experience

OR

High school diploma / GED & 8 years of pharmaceutical meetings experience or another highly regulated industry meetings experience

Preferred Qualifications
  • Fluent English, Spanish and Portuguese
  • Working knowledge and expertise in Strategic Meeting Management
  • Working knowledge of hotel sourcing, negotiating and contracting
  • Working knowledge of meetings and congress operating environment
  • Working knowledge of compliance, legal and regulatory guidelines related to interactions with health care professionals
  • Ideally an understanding of Amgen's business planning process
  • Strong Leadership skills
  • Strong Change management
  • Process mapping experience
  • Excellent Communication skills
  • Strong Negotiation skills
