Summary: The Human Resources Administrative Assistant performs a variety of personnel-related administrative tasks. This position requires excellent organizational skills and the ability to handle sensitive information. The Human Resources team is responsible for setting the stage and tone of Jefferson Lines Employer of Choice. This is a high paced and high visibility role within the company.



Key Performance Measures:


  • Accurate and timely processing of personnel requests requests from employees and from supervisors/managers

  • Maintain employee records (soft and hard copies)

  • Strong collaboration with internal payroll team and external vendors



Essential Duties and Responsibilities:


The role of the administrative assistant is to work closely with the Human Resources team, the Payroll team, employees and department leaders. These are the essential daily and weekly duties of the role:



HR Administration Effectively conducts all HR Administrative work in a timely manner in order to maintain compliance with all policies, regulations, and laws. 


Benefits and 401K Administration


  • Enrolling new employees in the Jefferson Lines benefit packages that apply to the employee

  • Terminating benefits when an employee leaves

  • Be responsive to employees with benefit questions

  • Handle open enrollment

  • Ensure all records are up to date


Maintains accurate and up-to-date Employee Records


  • Maintain employee Personnel Files

  • Update HRIS and other pertinent software

  • Assist in payroll preparation by providing relevant data, like absences, bonus and leaves

  • Process employees requests and provide relevant information

  • Managing the Termination Checklist when an employee leaves the company

  • Help with exit interviews (electronically and in-person as needed)

  • Prepare for HR audits

  • Provide Employment Verifications



  • May help assist with phone screens

  • Run background checks

  • Set-up drug screens and physicals


Ensures organizational HR policies and practices are consistently applied


Provides administrative support

  • Effectively processes agreed upon communications (email, phone, etc.)

  • Provides other administrative support as requested


Education and/or Experience:


Two years plus general administrative experience or a human resources background. Strong computer and time management skills, a basic understanding of the HR role, and experience using HR software. High School diploma required. Some secondary schooling a plus.
