Position Summary: The HR Generalist/Administrator Hybrid position is a blend of Human Resources, Administrative, and Payroll responsibilities. Though the position has no direct reports, it has a Scope of Care for all Encore team members, therefore a large customer base both internal and external. Attention to detail and outstanding customer service outcomes are key drivers for the position.


 


Essential Functions for Administrator role:



  • Aid Customer Service in answering telephone calls and respond to emails in Helpdesk from customers/clients

  • Help Customer Service as needed

  • Monitor office supplies and order stationery, furniture, appliances, and electronics as required; purchase all non-operations items, or as directed by Leadership/owners

  • Work with the Leadership team to improve office operations and procedures

  • Plan necessary travel for team members

  • Responsible for all vendor relationships and communications. Ensure that contracted and scheduled work is performed to the expected standard and that the internal stakeholders are satisfied with the work completed

  • Maintain an organized workstation, lobby area, and employee entrances at the Tulsa Avenue location

  • Be available as required by customer demand to work additional time (overtime) throughout the year

  • Take the lead on company party-planning activities

  • Lead the Employee Safety Committee and fulfill the requirements of the committee that are listed in the Employee Policy Manual

  • Be aware of where Leadership members are for the day; help them maintain their calendars as requested

  • Coordinate lunches for company "Food on Fridays"

  • Keep the updated list of swag and when it is awarded

  • Take the initiative in supporting all office staff, ensuring they have the resources they need to be successful

  • Run errands for company with own reliable vehicle mileage paid

  • Support all company policies, procedures, and safety rules

  • Perform other related duties as assigned by Leadership or Supervisor



Essential Functions for HR Generalist role:



  • Lead the Employee Engagement Committee and plan the monthly Employee Appreciation Event

  • Upload all personnel, garnishments, and child support/medical support documents to the appropriate fields/places in the Paycor HRIS system

  • Responsible for the full employee on-boarding process

  • Responsible for the full employee separation and off-boarding process

  • Handle the addition of temporary employees and their timesheets

  • Communicate with temporary employee staffing agencies

  • Email all temporary employee timecards to our partner staffing agencies each week

  • Adjust and verify punches for all temporary and regular staff members in conjunction with operation Leadership

  • Monitor when temporary employees are eligible to convert over to REG Encore employees

  • Enter benefit selection at appropriate time in partnership with Encores benefits partner

  • Enter pay increases and PTO at 90 days

  • Enter Anniversary Recognition Awards

  • Support all company policies, procedures, and safety rules

  • Perform other related duties as assigned by Leadership or Supervisor



Essential Functions for Payroll/Accounting role:



  • Reconcile the bank account and credit card accounts with QuickBooks daily

  • Track, enter, and complete all invoicing every two weeks

  • Track and enter all bonuses, pay advances, and other pay information in the appropriate spreadsheet(s) for payroll deductions/additions

  • File UPS claims and help Customer Service with claims when needed

  • Pick up mail 1-2 times weekly and check in with CFO

  • Verify the accuracy of all timecards and of payroll deductions/additions before submitting payroll

  • Prepare and submit the 401(k) report to the CFO

  • Partner with the CFO and both warehouse Managers on payroll before submitting

  • Reconcile Insure Oklahoma, BCBS, and other benefit invoices/billing statements

  • Run and submit the monthly payroll report to CompSource

  • Support all company policies, procedures, and safety rules

  • Perform other related duties as assigned by Leadership or Supervisor



Educational Qualifications:



  • Minimum education level is an Associate degree in Business, Accounting, Management, Communications, Office Administration, or a similar field and/or work history equivalent necessary

  • SHRM-CP and/or PHR Certification preferred

  • Must be computer-proficient with Microsoft Office Programs (Word, Excel, and Outlook)



Skill Qualifications:



  • One year of extended work in QuickBooks Online or similar bookkeeping/payroll software

  • One year of detailed work in a Human Resources/Generalist position

  • Extended work history in detailed, data-related work

  • History of group or peer leadership or experience

  • A demonstrated history of project initiative

  • Demonstrated written and verbal communication skills

  • Exceedingly strong interpersonal skills to interact positively with all employees

  • Organization and the ability to multi-task during the week to complete a wide variety of responsibilities

  • Attention to detail to ensure tasks are completed thoroughly and correctly



Other:



  1. Full-time employment

  2. Position hours are M-F, 8am 5pm. Some weekend days may be required during peak times of year or for special events.

  3. Flexibility in your schedule is needed; customer projects/requests sometimes require work outside the 8am 5pm schedule.

Work Environment:



  • Work is primarily in a climate-controlled office (90%)

  • Some work takes place in a non-climate controlled warehouse (10%)

  • This position requires the use of hands, arms, eyes for close seeing,  and ears for hearing. Use of telephone and office equipment such as scanners, printers, and fax machines. Candidate must be able to lift to 50lbs occasionally, reach arms out from the body, and squat and kneel occasionally. Typing is an essential function of this position.
