The Administrative Coordinator (AC) will be primarily responsible for complex administrative support activities, supporting up to 3 Executive Directors/GPGM (Global Product General Managers) and occasionally work package support teams on an as needed Coordinator is to perform a variety of complex administrative support activities; to assist in report generation as requested; to facilitate tracking of deliverables and timelines as directed; and to lead the coordination of meeting logistics, minutes and other duties as assigned.

The position is responsible for the following key responsibilities:
  • Handling complex calendars and scheduling meetings (Outlook) including across multiple time zones
  • Making complex, international (primarily) and domestic travel arrangements, including ground transportation logistics, and preparing expense reports to meet the necessary deadlines
  • Coordinating functional processes such as invoicing & purchase orders
  • Assisting with preparation of presentations and meeting agendas
  • Maintaining distribution, contact and personnel lists
  • Handling the administrative aspects of relationships with outside experts and vendors
  • Participating in department project teams
  • Providing backup support to additional department ACs
  • Coordinating local meetings: arrange travel, meeting arrangements, visitor accommodations including visitor badges as needed
  • Organizing meeting rooms, including logistics, catering and equipment needs
  • Preparing agendas and taking action items as required
  • Assisting with special projects as requested by the Leadership Team and others within the group
  • Timely registration for conferences, congresses, seminars, and internal meetings/workshops
  • Arranging ancillary meetings during major conferences
  • Ordering office supplies as requested
  • Coordinating mailings and courier/deliveries
  • Performing other administrative duties as assigned


Basic Qualifications

Associate's degree

OR

High school diploma / GED and 2 years Administrative experience

OR

Certification that is directly related to the role and 2 years of Administrative experience
