Fermilab's Office of the Directorate is seeking a Foreign Visits & Assignments Program Administrator. Under immediate supervision, provides clerical and administrative support by performing duties and tasks that are predominantly routine, basic and standard in nature applying some independent judgment and fundamental knowledge of concepts and practices following specific sets of procedures. Responsibilities include the majority of the following duties

You Will
  • Administer a lab program by acting as liaison between the lab and institutional Point of Contacts (POC) and vendors
  • Coordinates, organizes and provides support for meetings, reviews, & workshops.
  • Arrange foreign and domestic travel and prepares vouchers for reimbursement.
  • Works on highly sensitive projects which could include development of procedural manuals, maintaining files / databases, drafting correspondences, and interacting with a variety of high level officials.
  • Prepare periodic reports using MSWord or Excel to relay and illustrate information. Uses Excel spreadsheets or other software tools to track information and to update departmental lists.
  • Maintain financial records and program schedules for progress analysis.
  • Maintain a program web site by reviewing changes and replacing content as necessary.
  • Maintain office equipment and coordinates service calls to vendors.
  • Other duties as assigned by reporting manager.
  • Abides by & is responsible for performing all duties in accordance with all environmental, heath, and safety regulations and practices pertinent to this position.

We Are Looking For
  • High school diploma or equivalent (preferred Bachelor Degree)
  • Minimum of 3-5 years of office experience (preferred Executive level).
  • Experience with Windows-based computers, competence with Microsoft Office products.
  • Excellent verbal and written communication skills, can communicate effectively with people at all levels in an international environment.
  • Ability to work independently once training has been provided.
  • Good organizational, prioritizing and follow-through skills.
  • Ability to communicate effectively and courteously with people at all levels and in an international environment

Relocation is not available for this position.
