Position Summary

The Executive Assistant is responsible for providing comprehensive support to members of the executive team, serving as a liaison with the board of directors, and managing office services within the corporate office. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This is a full time, non-exempt position reporting to the CHRO.

This role is 5 days/week onsite in our Mill Valley office

Responsibilities & Duties

EA Support

  • Manage complex calendars for executives. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Serve as the gatekeeper and primary point of contact for the offices of the executive team.
  • Work closely with key stakeholders to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate needs in advance of meetings, conferences, etc.
  • Assist in coordination of all Executive Team meetings and retreats and assist with staff meetings and events as needed.
  • Manage remote meeting technology, including Zoom, Webex, and Teams. Coordinate with the IT team to ensure high functioning equipment and receive technical support when needed.
  • Plan and coordinate complex travel arrangements, prepare detailed travel itineraries, and proactively solve issues that occur during business trips.

Office Services

  • Manage all aspects of office services for the corporate office: manage vendors; serve as the point person for visitors to the office; coordinate maintenance and facilities needs with property management; distribute mail and packages; and maintain office and kitchen supplies.
  • Assist with planning office events and coordinating catering needs.

Program Support and Management

  • Design and produce documents, reports, and presentations; collect and prepare information for meetings with staff and outside parties.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; make travel arrangements; manage board payments and expenses; and develop, compile, and distribute board presentation materials.
  • Leveraging understanding of the Redwood Trust strategy, anticipate upcoming needs/meetings and coordinate document and information requests among executive team. Proactively provide items to CEO and President that are critical to review, identifying, when appropriate opportunities for enhancements.

Required Education, Experience, & Skills

  • 5+ years of experience supporting senior level executives; experienced and skilled at managing complex executive tasks in a fast paced, continuously evolving environment with professionalism and discretion.
  • Excellent verbal, written, presentation and interpersonal communication skills.
  • Strong computer skills including the Microsoft suite (Outlook, Word, Excel, PowerPoint); experience working with Zoom, Webex, or other remote meeting technology.
  • Ability to manage and execute projects to successful completion.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to build trust and relationships with both internal colleagues and external clients.
  • Positive and solution oriented attitude; ability to stay calm and composed when issues arise.
  • Strong customer service orientation; demonstrates professional and welcoming etiquette to all callers, clients, employees, executives, etc.
  • Bachelors degree or equivalent experience.
