Overview

This position provides executive-level administrative support and event/project coordination for the Senior Vice President, Finance and Senior Vice President, Chief Information Officer. The ultimate goal is to assist these senior leaders to executive effectively their responsibilities for UNFCU. This position is responsible for upholding the Credit Union’s commitment to provide uncommon member service and ensures representation of the Credit Union in a positive and professional manner at all times.



Responsibilities

  • Executes a broad range of support duties for the SVPs, including:
    • proactively managing Outlook calendars, schedules and email;
    • independently composing and preparing correspondence;
    • preparing and designing reports, presentations, spreadsheets, graphs, charts and other document types that are accurate, error free and adhere to the corporate brand guidelines;
    • creating and maintaining databases and spreadsheets;
    • preparing expense reports in a timely manner;
    • arranging and managing detailed domestic and international travel plans, itineraries and agendas utilizing judgment to effectively manage cost and assure management needs are considered; and
    • answering and screening telephone calls, responding to moderately complex inquiries and escalating them as appropriate.
  • Collaborates with the SVPs to keep them well informed of upcoming commitments and responsibilities.
  • Manages all aspects of meetings, teleconferencing and videoconferencing support.
  • Provides support to the Asset Liability Committee (ALCO) and other internal committees as assigned. Schedules recurring meetings, prepares and distributes meeting materials, coordinates technical and catering arrangements, attends meetings, and prepares minutes. Provides post-meeting follow-up as needed.
  • Coordinates the documentation requirements for the annual NCUA examination. Collaborates with the Accounting team to support the on-site examiners during the examination.
  • Provides assistance with preparing departmental budgets as requested.
  • Conducts ad hoc research. Collects data and prepares reports as needed.
  • Provides event-planning support for various corporate events as assigned.
  • Organizes and maintains filing systems as required.
  • Liaises between SVPs and other department heads to ensure coordination and handling of issues and projects.
  • As a member of the Executive Operations team, provides periodic back-up support to colleagues, participates in team meetings, shares knowledge and information, and ensures a consistently high level of service and support.
  • Other essential duties as assigned.
    • Assist the Chief Investment Officer with travel arrangements and reimbursement for CUNA Board of Trustees meetings and industry conferences.
