Employee Occupational Health & Wellness Coordinator/Specialist.


 


You are passionate about helping employees stay healthy and productive.  In this role you will help build and grow PacBios employee health and wellness programs.  You will work one-on-one with employees at all levels of the organization and in all department and functions.  You will learn a lot about the business and what it takes to get work done so you can advise employees how to stay safe and healthy while doing that work.   You will teach employees about ergonomics, body mechanics, vaccinations, public health matters and the variety of available health and wellness resources. 


 


This is a new position that will build on programs already in place to support the company as it expands its workforce in numbers and geography.


 


This position will take direction and report to the Senior Manager, EHS & Security.


 


Qualifications



  1. Qualified with six months of job experience, or certification in the last three years as a:

    1. Certified Athletic Trainer by the board of Certification for the Athletic Trainer

    2. Licensed Physical Therapy Assistant by the Federation of State Boards of Physical Therapy

    3. Certified Occupational Therapy Assistant by the National Board of Certification for Occupational Therapy (NBCOT)

    4. Certified Strength & Conditioning Specialist by the National Strength and Conditioning Association

    5. Military Combat or Field Medic



  2. AND/OR Associate or Bachelors Degree from an accredited academic institution in:

    1. Exercise Science

    2. Exercise Physiology

    3. Applied Health Sciences

    4. Kinesiology

    5. Occupational Health

    6. Other related degree



  3. Experience in an occupational or industrial setting

Job Responsibilities


 


On-site COVID Testing Support



  1. Function as Site Representative for PacBios on-site employee testing program. The Key Responsibilities of this role include:

    1. Determination of testing requirement for site employees in compliance with the Company Policy and CDC guidelines.

    2. Collecting Employee Consent form for Company Records.

    3. Retention of Sample Input Logs, Manifest, and Test Results for Company Records.

    4. Being trained and certified for Universal Precautions and Personal Protective Equipment(PPE) use.

    5. Ensuring safe collection and handling of specimens

    6. Employ decontamination procedures for collection areas.

    7. Provide instructions to employees on how to use the Saliva Collection Device and to provide clean saliva samples.

    8. Being trained to use and maintain the DxTerity COVID-19 Samples and Reporting Platform.

    9. Understanding of HIPAA and associated security necessary to protect employee private health information and accurate recording of samples within the platform.

    10. Monitoring inventory and alerting EHS Officer if adjustments need to be made to the order.

    11. Placing order for testing supplies.

    12. Communicating with DxTerity Support when questions or issues arise.



  2. Manage testing appointments using designated appointment software.

    1. Update appointment software on Friday each week to include sign-ups for the next 2 weeks duplicate sheets from previous week, including those who request a recurring appointment and deleting those who do not. Delete sheets from previous week.

    2. Make improvements to appointment process as appropriate.



  3. Test day room setup/operation/breakdown at Menlo facility

    1. Prepare sample input log for each test day, based on which employees have scheduled appointments. Prepare complete backup sample input log with ALL on-site employees for walk-ins.

    2. Print out sample input logs (appointment log, backup log) so they are ready before first appts

    3. Retrieve test devices and put out collection rack

    4. Oversee testing and answer any questions employees have regarding the test or the process

    5. Facilitate employee understanding of the IFU documentation.

    6. Mark pages in backup log that are used for walk-ins each day include these pages in scanning and remove from the backup packet at the end of the day and attach to appointment sample input log to be stored for our record.



  4. Prepare test samples for shipment to lab.

    1. Verify all sample vials are properly closed.

    2. Scan all samples to generate shipping manifest. Print manifest.

    3. Package samples per packaging instructions provided by DxTerity. Fill out FedEx shipping slip.



  5. Maintain accuracy of employee data loaded into the DxTerity COVID-19 Samples and Reporting Platform

    1. Periodically add new employees

    2. Periodically remove terminated employees



  6. Review test results in timely manner

    1. Login to reporting platform to check test results as they arrive (will receive email when new results are reported) 

    2. Notify EHS of any positive test results.  

    3. As requested, provide employees with individual test reports

    4. Periodically update Test Record spreadsheet on PacBio Intranet with weekly test results.



  7. Monitor testing compliance

    1. Periodically cross-check security list against test list to identify employees who need reminder about testing.  Security list provided by Security manager.

    2. Send reminders about weekly testing to those who missed testing.





At -Home COVID Testing Support



  1. Function as Site Representative for PacBios at home employee testing program. The Key Responsibilities of this role include:

    1. Determination of testing requirement for site employees in compliance with the Company Policy and CDC guidelines.

    2. Provide instructions to employees on how to use the Saliva Collection Device and to provide clean saliva samples.

    3. Being trained to use and maintain the DxTerity COVID-19 at-Home Testing and reporting Platform.

    4. Understanding of HIPAA and associated security necessary to protect employee private health information and accurate recording of samples within the platform.

    5. Communicating with DxTerity Support when questions or issues arise.



  2. Monitor the internal COVID testing email inbox

    1. Initiate requisitions for at-home test kits for members of field staff.

    2. Respond to employee questions about testing and other requests.



  3. Maintain accuracy of employee data loaded into the DxTerity COVID-19 at-Home Testing and reporting Platform.

    1. Periodically add new employees

    2. Periodically remove terminated employees



  4. Review test results in timely manner

    1. Login to reporting platform to check test results as they arrive (will receive email when new results are reported)

Ergonomics Program Coordination



  1. Minimize the risk of ergonomic injury to employees through awareness, education and early intervention

  2. Proactively reach out to employees to periodically check-in on how they are doing with their ergonomic setups

  3. Provide one on one coaching to employees on proper body mechanics and ergonomic self-assessment.

  4. Perform ergonomic assessments for employees at the Menlo Park facility and also virtual assessment for employees working remotely.

  5. Monitor the internal safety department email and respond to employee questions related to ergonomics, vaccinations, health and wellness.  

  6. Manage ergonomic equipment selection and ordering

    1. Evaluate (through research and actual use) new products

    2. Place orders for ergonomic equipment to ship direct to employee homes

    3. Establish minimum on-site inventory for commonly recommended items and order materials as needed to maintain the minimum inventory. 



  7. Research and maintain awareness of ergonomic best practices for businesses like PacBio

  8. Develop and provide guidance, tips and tricks for ergonomic best practices to a diverse and geographically dispersed workforce.

  9. Maintain and periodically update the EHS ergonomics webpage with resources employees can use to remain ergonomically healthy

  10. Develop stretching and exercise guidance related to common ergonomic symptoms



 


Injury/Illness Prevention and Case Management



  1. Gain in depth awareness of the job roles and tasks performed by PacBio employees in order to understand the body ergonomic and physical demands of each job role and task.

    1. Through observation, interviews and review of operating procedures, assess physical requirements of job roles.

    2. Document the physical requirements on the DWC 10133.33 form or similar.

    3. Maintain and periodically review and update the assessments.



  2. Assist the EHS officer with the workers compensation program

    1. Proactively monitor open claims utilizing the company workers compensation claim site

    2. Distribute workers compensation required notices to dispersed workforce



  3. Manage the Menlo Park OSHA 300 log and USA Field OSHA 300 log

    1. Enter injury cases on the log

    2. Prepare and post the annual OSHA 300A summaries



  4. Manage the first-aid kits and medical response supplies

    1. Identify appropriate types and quantities of supplies needed

    2. Work with 3rd party vendor to ensure timely restocking of on-site first-aid kits

    3. Periodically review the approved items list for the stocked first-aid cases

    4. Order supplies as applicable to maintain appropriate quantities of advanced first-aid supplies for



  5. Assist the EHS officer in selection and procurement of appropriate personal protective equipment to protect employee health.  Help coach employees on proper use.



 


 


Fitness/Wellness Program Coordination



  1. Manage on-site fitness center, yoga room, ping pong room

  2. Coordinate fitness center classes

    1. Work with 3rd party vendors/fitness instructors to develop and provide classes

    2. Develop methods for communicating classes and promoting classes with staff

    3. Develop options for virtual fitness classes for employees WFH



  3. Work with facilities to maintain existing equipment and select new fitness equipment including equipment to help staff with recovery from ergonomic related injuries

  4. Work with facilities to help creative diverse and healthy food services

    1. Assist with selection of food in cafeteria

    2. Partner on developing/hosting innovative food offerings:  pop-ups, periodic farmers market



  5. Assist the HR employee benefits Director with:

    1. Promoting the wellness features of the Benefits programs

    2. Organizing on-site annual flu vaccination campaigns

    3. Organizing the on-site annual health fair

    4. Organizing ad-hoc, on-site and virtual wellness events that may arise from time to time

    5. Contributing fitness/wellness content for HRs monthly employee newsletter

    6. Facilitating shipment of SMRT store merchandise to international employee as part of the company internal employee award program.





 


Travel Health and Medical Surveillance Programs



  1. Provide guidance and assistance to employees regarding vaccinations, pre-travel testing and other health related matters for travel.

    1. Work with the EHS officer to design and deploy a travel vaccination policy and program supporting PacBio employees globally.

    2. Monitor travel trends and associated requirements.

    3. Assist staff in identifying ways to reduce quarantine times associated with travel.



  2. Assist employees in identifying COVID testing requirements for travel to specific locations.

    1. Answer employee questions regarding testing requirements for travel

    2. Identify local testing options for geographically dispersed workforce.

    3. Order and ship COVID test kits to employee home addresses as applicable



  3. Work with the Biosafety officer to ensure employees working with BBP are offered the Hep B vaccination

    1. Maintain Hep B vaccination declinations/acceptance file

    2. Facilitate vaccination appts at local clinic.  Monitor progress to completion status to ensure 3 shot series completed in timely manner

    3. Arrange for titer and boosters as applicable





 


Public Health Liaison and Coordination



  1. Stay up to date on latest CDC, state, and county guidelines related to COVID-19 and other relevant public health information

  2. Relay information to employees, EHS officer, and implement latest guidelines into company-wide education initiatives and policies

  3. Work with landlord representatives to help promote periodic on-site blood drives and other public health related programs occurring within the business park

  4. Assist the EHS officer with COVID-19 case investigation and contact tracing for employees that test positive for COVID-19 or are identified as close contacts



 


Other tasks



  1. Provide backup support at front lobby/reception.

  2. Other tasks as assigned by manager.



 


Anticipated work hours @ Menlo = 16-24 hours on-site/week


Tuesday: 8-5 (includes  1 hour lunch)


Thursday: 8-5 (includes  1 hour lunch)


Optional 3rd day working on-site as needed.


Remaining hours WFH
