Assists with scheduling and coordinating drivers, parts and equipment for delivery, service, or emergency repairs rendered. Duties include using radio, telephone, or computer to transmit assignments and compiling statistics and reports on work progress and customer communications.

 

Responsibilities:

 

• Assist with orders and enter order information directly into computer systems accurately and on time
• Assist with dispatching drivers and coordinating pick-up and delivery
• Assist with monitoring equipment and driver status to ensure customer requirements are met
• Assist with tracking parts, service calls, and entering data
• Deal with multiple customers to provide assistance, exchange information, and resolve issues
• Assist with managing shipment success from origination to destination
• Communicate with drivers, shippers, consignees and third parties as required
• Communicate with many departments within the company.
• Working closely with shipping department to ensure units are ready for pick-up
• Responsible for sales of parts to end users as well as dealer network 
• Handle and direct incoming calls
• Greet visitors, drivers, and vendors
• Assist customers with completing all required paperwork, inspections, and ETA for delivery
• Produce Bill of Ladings and complete paperwork packets
• Assist with all front office operations, including heavy daily data entry
• Answer emails and coordinate correspondence
• Communicate with customers on a daily basis
• Assist with AP invoicing/corrections, adjustments, vendor contact
• Assist with AR Billing/Collections
• Manage office supplies, maintain inventory, and order supplies as needed
• Other miscellaneous duties as designated by the Management Team

 

 

Requirements (education, experience, travel, physical, work environment):

 

• High School or GED preferred.
• Two (2) years’ experience with proficiency in customer service dealership or service shop
• Moderate PC skills including MS Office Suite, and Outlook.
• Proficient typing skills
• Ability to read, write, comprehend, and verbally communicate simple instructions, short correspondence and memos in English.
