General Overview


Are you excited to be part of a global communications team working to build the brand of an organization making a difference around the globe? This role provides support to the Rotary Communications team and to the Chief Communications Officer.


 


Are you great with colleagues and able to take initiative and work independently? We need a dedicated team member who can supports significant communications group projects. This includes tackling administrative functions efficiently and coordinating team building opportunities.


 


Do you have great organization and project management skills? The Communications Coordinator helps to project manage initiatives and assists on special projects as appropriate.

You Will Have



  • Ability to manage confidential issues with great discretion and professionalism

  • Good communications and interpersonal skills essential

  • Ability to handle multiple tasks and to prioritize appropriately

  • Multi-cultural sensitivity is essential.

  • Proficiency with Microsoft Office required (Word, Excel, PowerPoint, Outlook)

  • Understanding of marketing and communications

  • Strong analytical and organizational skills

  • Minimum 3-5-year experience working in a similar role

  • Bachelors degree or equivalent

You Will Be Responsible For


Coordination and Support


Your key responsibility is coordinating activities under the General Manager and for the broader communications team. This includes providing administrative support such as presentation preparation, meeting agendas, outcomes and setup, handling communications to colleagues and Rotary club members. This also includes:



  • Supporting the team for meetings of the Board of Directors, Rotary Foundation Trustees and Communications Committee, including communication with members, drafting items for advance materials, preparing meeting minutes, and ensuring timely distribution of those items.

  • Coordinate contract review process for significant communications agency vendors.

  • Project managing Communications initiatives and projects as assigned.



Communications


In this role, you are the communicating and interacting with constituents, colleagues and others. The position is responsible for:



  • Handling inquiries to the marketing & communications team, responding to general inquiries via email or phone.

  • Maintaining and writing materials for internal portal pages

  • Responding to Rotarian requests for marketing materials.



Administrative



  • Preparing expense statements and reconcile corporate credit card expense reports.

  • Maintain key Communications group electronic files (budgets, contracts, etc.) 

  • Coordinates the substantial procurement services for the group by creating purchasing orders.

  • Serving as the liaison to the Rotary Finance team

  • Coordinating all aspects of the development of communications budget

  • Maintaining staffing updates



Other duties as assigned



  • Other duties may include, but are not limited to, working with Rotarys customers on inquiries, working on special projects, and testing system updates.
