The Clinic Receptionist is responsible for helping patients check-in and out of the ACTCM Community Clinic, as well as receiving payment for services rendered, and scheduling appointments in person or by phone. The Clinic Receptionist is the first contact that patients have with the clinic and are critical to the smooth operation of all Community Clinic services. It is important that candidates are mature and can, at times handle a variety of situations unsupervised all in full compliance of HIPAA and FERPA. Attention to detail is vital to the position. Must be able to close Monday-Thursday and work on Saturdays.

Responsibilities Related to Patients

  • Respond to telephone inquiries from prospective patients, explain clinic services (acupuncture, herbs, massage; treatments are done by students under licensed Acupuncturist supervision; choice of intern or trainee group with teacher or alumni clinic; we take insurance and have sliding fee scale; appointment time, clinic hours, etc.)
  • If the patient presses room buzzer, make sure students and/or teachers check to make sure the patient is OK
  • Check patients out after appointment: calculate herbs and tax, take payments, schedule and confirm future appointments, occasionally make recommendations regarding practitioners based on patient preferences (practitioner specialty, number of people in the room, etc.) to ensure the patient will be happy with the treatment

Clinic Administrative Duties

  • Call insurance companies to verify patients' insurance benefits and availability and be able to explain benefit information to patients
  • Communicate with insurance biller regarding questions or problems
  • Arrange deposit in an envelope; print reports for Finance to facilitate deposits to the bank each morning
  • Closing duties in evening shift, including balance all credit card, check and cash transactions; prepare deposit for the following morning; make sure all charts and needle slips have been returned; copy clinic schedule for the following morning (4 copies: 2 at front desk, 1 in faculty room, 1 in student lounge); lock cash drawer
  • Create and update forms as needed, using Microsoft Word or Excel
  • Communicate with clinic management regarding the scheduling of all clinic students and faculty
  • Miscellaneous projects and tasks as directed by clinic management
  • Stock examination rooms and ensure that patient buzzers are working correctly and batteries are replaced when needed
  • Prepare charts for new patients; write patient information on ledger card and prepare for data entry

  • Make sure the clinic is locked at the end of the night and that all devices that should be turned off, are
  • Notify Facilities of any maintenance, plumbing or safety issues promptly via email
