General Overview

Oversees administrative (information request processing, correspondence, coordination of mailings and programs) and logistical support of The Rotary Foundations campaigns.  Provides administrative support and project management coordination to the Director of Planned and Major Gifts and the Assistant Manager of Campaigns. Serves as liaison to Publications and prepares materials and coordinates preparations for campaign events. Prepares materials for senior leadership. Operates independently on a project assignment basis. Works with word processing, data entry, database and spreadsheet, organizational, budgetary and presentation software. Supports campaign committees.



Undergraduate college degree or commensurate educational certification required.

Specific Duties

  • Project coordination and management duties

    • Work with Director of Planned and Major Gifts and Assistant Manager of Campaigns in coordinating materials and activities relating to Rotarys major gift initiatives for the Rotary Peace Centers, areas of focus, and Polio Plus, including Campaign Committees, planning group materials and cultivation activities related to fundraising activities

    • Coordinate and participate in webinars and conference calls

    • Coordinate budget, logistics and support preparation for up to 25 cultivation events annually

    • Manage trip preparation including staff and volunteer travel arrangements and materials preparation

    • Work with event venues on purchase orders, payments, and logistics

    • Prepare PowerPoint presentations and campaign reports

    • Monitor department budget expenditures and coordinate budget planning materials

    • Work with Communications on support materials, including brochures, event invitations and programs

    • Assist with other special projects as assigned


  • Administrative support duties

    • Screen and respond to Directors and Assistant Managers phone and email as requested;

    • Maintain accurate files, lists, mailing labels and reports;

    • Process and track purchase orders, office supply orders, print orders and translation requests for division manager;

    • Responds to general requests for information as received from the Executive and Volunteer leadership, including Campaign Committees

    • Assist with production and completion of mailings as required.

    • Serve as a base of knowledge for the other support persons in Polio and Philanthropy as requested

    • Run donor history reports and other contribution reports requested;

    • Perform other duties as assigned


Prior Experience

At least two years experience in an office environment with administrative experience preferred.

Providing administrative support and project coordination at the executive level a plus.

Budget Responsibility

Assists in the budget development process.

Extensive interaction with Rotary areas with an emphasis on RI Travel Service, Programs and Grants, Polio Plus, Finance and Communications.  Frequent interaction with senior management; Finance, Learning and Development, and Meetings and Events.
