Job Description

Tiedemann Advisors is looking for a proactive person with outstanding organizational and time management skills to help manage all facets of the business development processes to reduce the time that outwardly focused team members spend on internal /administrative tasks. This person will interact with other firm employees, prospective clients and clients in a fast pace environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. This position will be based in our New York office.

Job Responsibilities

  • Manage contacts, notes, meetings, follow-up materials - track prospects, clients and Centers of Influence (COIs) in all relevant systems Salesforce (SF), Outlook, Excel, etc.
  • Manage content distribution lists for prospects and COIs for thought leadership, events, PR, etc.
  • Maintain Salesforce pipeline reports for A, B & C prospects and assist in New Business Approval Committee process
  • Track and maintain metrics for Business Development team and Board of Directors
  • Assist with NYC based sponsorship, conference materials and attendance. Coordinate events client dinners, speaker series, lunches, gifts, etc.
  • Assist with RFP and prospecting process and coordinate and edit response with various teams
  • Prepare drafts of pitch books/prospect presentations
  • Assist with managing client onboarding process
  • General administrative tasks primarily for two Managing Directors including calendar management, contact management, booking travel, processing expense reports and answering phones and directing calls, holiday cards, managing preparation for meetings and greeting visitors

  • Bachelors degree preferred
  • Minimum five years of experience as an Executive Assistant or other relevant administrative support
  • Ability to interact with professionalism and maintain confidentiality when working with internal colleagues, external prospective clients and clients
  • Highly organized with strong decision-making ability and attention to detail
  • Advanced Salesforce and Microsoft Office (Excel, PowerPoint and Word) skills with an ability to learn firm-specific programs including Addepar, Slack, and Chrome River
  • Ability to use critical thinking to understand our business and the contents of work product
  • Ability to prioritize in a highly visible, fast-paced, team-oriented environment
  • Strong administrative and problem-solving skills
