LOCATION: 319 Stanhope Street, Brooklyn, NY 11237

REPORTS TO: Educational Site Director

SALARY: $30,655-$34,237(annually). Excellent benefits including medical, dental, vision, life insurance, 401K plan, employee referral bonus and 24 paid vacation day per year, personal and sick days.

JOB SUMMARY:

The Bookkeeper position follows clearly detailed specific procedures in completing several clerical steps performed in a prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; could involve simple posting to individual accounts, opening mail, calculating and posting charges to departmental accounts, operating basic office equipment, computer programs, and front desk coverage.

EDUCATION, EXPERIENCE AND SKILL REQUIREMENTS:

  • High School Diploma and/or General Equivalency Diploma (GED)required; Associates of Arts Degree preferred.
  • One (1) to two (2) years of previous bookkeeping and record-keeping experience.
  • One (1) to three (3) years of general office assistant experience required.
  • Experience with various aspects of the payroll systems including calculations and time and attendance tracking.
  • Proficiency in Microsoft Office skills including Word, Access and Excel) and Google email.
  • Strong knowledge of working with data base systems.
  • Flexible, cooperative and willing to work in a team environment
  • Strong ability to work in a fast pace environment, multi-task simultaneously, pay attention to details with a high degree of accuracy and priority to meet deadlines.
  • Bilingual, fluent in English/Spanish.
  • Provide quality customer service and maintain productive working relationships.
  • Ability to follow instructions, policies and procedures.
  • Good communication, organizational and time management skills.

Pre-Employment Requirements:

  • Clearance through DOI Fingerprint Screening, NYS Central Registry, Sex Offender Registry clearance, three (3) reference checks, physical examination with updated TB test, varicella, Tdap, MMR (fees may apply).
  • Obtain Mandated Reporter training certificate (every 2 years) and comply with agencys policy and procedure regarding identification and reporting of child abuse and neglect
  • If hired, Grand Street requires all potential employees to provide proof of full COVID-19 vaccination including booster.

ESSENTIAL JOB RESPONSIBILITIES WILL INCLUDE:

  • Supports accounting operations by reconciling statements, paying bills, working with vendors and suppliers.
  • Maintains vendor contracts, running in-house software accounting program.
  • Works with vendors and suppliers to ensure up-to-date contracts and proper billing.
  • Collection and Recording of Child Care Fees.
  • Preparation of Deposits to Finance Department.
  • Generate reports including Parent Fee Summary Reports.
  • Prepare and maintain CACFP Food Claims.
  • Perform Attendance and Enrollment Tracking.
  • Staff Payroll (calculate payroll and track sick/vacation and holidays)
  • Enter the daily attendance into COPA
  • Print reports monthly as needed for Family Services Staff.
  • Prepare monthly attendance reports for the Department of Education.
  • Work closely with the Family Services Staff and assist them by entering applications into COPA, or any other information related to childrens information including follow-up conversations/contacts with parents as they happen throughout the day.
  • Manage inventories for janitorial supplies and office supplies.
  • Perform basic office duties including answering phones, translating for teachers and parents, check mail daily and distribute accordingly, file documents into master binders and child files, greet parents when they come in and assist them when needed.
  • Recruiting, translating for home visits, filing, and generate weekly reports for enrollment.
  • Assists and perform other program duties as needed from time-to-time and base directly on program needs.
