AUS Front Desk Support
Position Summary: Provides administrative support to the Front Office of the Seattle campus of Antioch University. Specific areas of responsibilities include reception duties, room assignments for course and non-course activities, technical support for A/V equipment and copiers, provide support to the Director of Campus & Administrative Services, and others as needed.

Essential Functions/Accountabilities:
  • Provide courteous reception at the universitys front desk, promote and project a positive impression of the institution; greet and direct visitors and AUS community members with an emphasis on helpful customer service.
  • Maintain alertness with respect to incidents and unauthorized persons on the premises which may impact campus safety.
  • Coordinate room and equipment assignments for meetings and special campus activities; all non-course activities. Determine best fit for each space request. Coordinate with campus constituents & visitors to ensure successful outcomes.
  • Ensure class and equipment requests are filled for the day.
  • Maintain accurate log and calendar of equipment & scheduling information utilizing scheduling software. Maintain, update, and post daily schedule of events and classes in scheduling software; ensure information is accurately displayed.
  • Provide technical support for A/V equipment users.
  • Develops maintenance schedule for equipment. Maintain assets inventory of A/V equipment. Coordinate training sessions for new users and guests. Coordinate office/paper supply process. Supply inventory for the leased multifunction copier fleet. Administer student pay for-print program; handle cash deposits and reserves in coordination with Student Accounts Office. Handle student refunds and maintenance on vending machines. Other duties as assigned by the Director of Campus & Administrative Services.
  • Check in students, faculty and staff and verify vaccination status

Minimum Qualifications:
  • Experience in a higher education setting and experience in using a multi-line telephone system strongly preferred.
  • Demonstrated strong customer service skills, organizational skills, and ability to handle multiple priorities and multiple tasks.
  • Demonstrated ability to exercise independent, professional judgment required. Proficient with commonly used word processing, spreadsheets, presentation, and database software, Microsoft Office experience strongly preferred.
  • Excellent written, verbal, and interpersonal communication skills required.
  • Experience operating and troubleshooting common A/V and computer equipment preferred.
  • Ability to maintain confidentiality of all personnel-related information, as well as restricted student data covered by FERPA guidelines and regulations.
  • Demonstrated ability to work as a member of a team within a diverse work environment desired.

Environmental and Job Hazards:
  • No unusual environmental or job hazards.

Essential Physical and Mental Demands:
  • Ability to sit at a desk for long periods of time. Manual dexterity to allow extensive computer keyboard work.
  • Occasional lifting, bending, and reaching. Ability to lift up to 40 pounds.
  • Occasional period of stress due to high levels of interaction with the Antioch community and the public.
