Amgen is seeking an Associate of Compliance - Project Coordinator to join us in our Thousand Oaks, CA headquarters. The Senior Manager will report to the Director of Compliance.

The Project Coordinator is primarily responsible for project management work relating to management of the three Amgen compliance committees: Corporate Responsibility and Compliance Committee (CRCC) of Amgen's Board of Directors; Compliance Committee of the Operating Team; and Compliance Council. The Incumbent will report to and support the WC&BE Director Governance with department and project-related activities, along with extensively collaborating within WC&BE and across all Amgen functions. Amgen's Worldwide Compliance and Business Ethics department (WC&BE) consists of a highly qualified and motivated team of professionals who identify, review, evaluate, manage and advise on compliance considerations within the organization. The Project Coordinator will also assist a Director and an Executive Director in supporting the compliance governance function within WC&BE.

Responsibilities of the Associate of Compliance - Project Coordinator include:
  • Assists with planning the master calendar for each CRCC, Committee and Council meeting (including topic and attendees) and coordinate deadlines for materials with specific review meeting and other deadlines
  • Assists the Director with reviewing topics covered in each meeting, identifying where there may be overlap and coordinating compliance-related topics among the three governing bodies
  • Prepares emails requesting materials from stakeholders, providing deadlines and meeting dates
  • Manages deadlines and provide timely reminders to ensure that team members provide materials in a timely manner, particularly CRCC materials
  • Attends relevant, identified CRCC preparation and debrief meetings to incorporate comments and make revisions suggested during these meetings into written materials
  • Handles all administrative tasks related to the three governance meetings (CRCC, Compliance Committee and Compliance Council), including printing, checking and providing all materials for prep meetings to attendees
  • Communicates effectively during all meetings, including CRCC preparation meetings
  • Collaborates and communicates within WC&BE and across all Amgen functions to assist with revising and creating documents for CRCC, Committee and Council meetings
  • Revises and finalizes drafts of written materials for review meetings
  • Works with the Director to ensure all appropriate participants are invited to meetings
  • Assists with creating materials for Amgen executives and CRCC members
  • Manages version control and final documentation of written meeting materials
  • Retains all final meeting materials in a method that is organized and accessible for other identified WC&BE staff members to locate as needed
  • Finalizes all meeting materials for CRCC, Committee and Council meetings, ensuring that these materials are timely submitted to the appropriate parties
  • Distributes final materials to stakeholders in advance of meeting, including any necessary talking points
  • Prepares the CRCC meeting books (hard copy and electronic) by compiling all written materials (memos, diagrams, etc.) into relevant sections, ensuring accuracy and completeness.
  • Keeps governance committee charts updated and maintains version control for each
  • Assists with and collaborate on projects as identified by the Chief Compliance Officer, Vice President, Executive Director and Director
  • Interacts with WC&BE colleagues to understand the Compliance Program in order to assist with the communication of this information to the CRCC, Compliance Committee of the Operating Team, and Compliance Council


Basic Qualifications:

Bachelor's degree

OR

Associate's degree and 4 years of Compliance and/or Project Coordination experience

OR

High school diploma / GED and 6 years of Compliance and/or Project Coordination experience

Preferred Qualifications:
  • 3+ years' experience in a project coordinator role supporting large teams
  • Bachelor's degree
  • Helpful, optimistic attitude with a solution-oriented approach
  • Strong interpersonal skills and track record in customer service
  • Discretion in dealing with proprietary information and advanced knowledge of MS Excel, PowerPoint, and Word (i.e. word processing, presentations, and spreadsheet skills)
  • Experienced and proficient with standard technologies and platforms such as Skype, Office365, SharePoint Online, OneNote, Concur, etc.
  • Excellent written, verbal and presentation skills in communicating key business information
  • Ability to manage multiple people, and calendars, at once while having excellent travel and meeting planning skills
  • Ability to work in a fast-paced, deadline-driven environment and experience working at large regional center, corporate headquarters, or capability center
  • Excellent organizational and time-management skills and ability to prioritize, manage multiple tasks, and track/report status of assignments and activities
  • Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners
  • Experience working in biopharma industry
  • Ability to work in a fast-paced, deadline-driven environment and discretion in dealing with proprietary information
