Under the direction of the Director of Library Services, the Assistant Supervisor 4 handles unit purchasing and requisition requests; processes evaluation files for librarians and staff; prepares paperwork for new-hires and other employees; verifies time-sheet entries; and supervises office staff and student workers, including conducting performance reviews, among other duties.

  • Supervise administrative office
  • Uphold and apply University/State/Federal human resource policies and procedures
  • Uphold and apply University/State/Federal budgetary policies and procedures
  • Remain in constant communication with library faculty and staff about all matters that affect their work
  • Process PO's, encumbrances and direct pays; compile and analyze financial data and create financial reports; keep accurate accounts of the library financial records, reconciliations, budget transfers and revenue account deposits
  • Transaction records complete and up to date and POs/invoices processed in timely manner
  • Super User for timesheets. Verify time is recorded properly on electronic timesheet
  • Supervise, train and assign tasks to administrative office staff and students; conduct performance reviews for these employees; and track work hours of work-study students, student workers and TES employees
  • Time-off requests recorded and processed and time sheets submitted at deadline
  • Prepare paperwork for new hires; verify DL and SS information for student workers and TES employees; prepare reappointment/tenure/promotion and nomination files; assist candidates with travel.   • Paperwork and files completed according to procedures
  • Verify and approve Chrome River Pre-Approval requests before going to budget unit manager
  • Assist employees with expense reports in Chrome River
  • Verify account and budget availability

EDUCATION:

  • Graduation from an accredited college with a Bachelor's degree

EXPERIENCE:

  • One (1) year of professional experience in review and analysis of administrative practices, policies, and operations; including making recommendations.

NOTE: Applicants who do not possess the required education may substitute experience on a year for year basis
