Position Purpose

Oversees very active front desk operations, providing intake, referral and instruction to students, employers, alumni, parents, faculty, and administrators- regarding access, use and navigation of relevant resources. Is the first point of contact for the department, exercising very good judgment related to appropriate triage. Manages constituents' expectations. Assists with advisors' appointment scheduling, student service usage documentation, student program RSVPs and marketing strategies/processes associated with promoting events and opportunities for students.

Key Accountabilities
Key Accountabilities

Administrative Support/Representation

• Serves as the first point of contact and liaison with all constituent inquiries to the Center for Professional Development (in-person, phone, email) assessing the nature, urgency, and appropriate content response or referral, with little supervision.
• Maintains a high degree of sensitivity and confidentiality at all times. Monitors types of inquiries, anticipates challenges and alerts staff to patterns, resulting in making recommendations regarding adapting or improving procedures/operations, communications, policies, programs and scheduling.
• Maintains cognizance of working within a diverse community and acts appropriately regarding diversity in dealing with others.
• Offers backup support to office manager.

Funding Coordination & Administration

• Respond to student inquiries on funding sources, including, but not limited to the SELF (Student Experiential Learning Fund) grant and Center for Professional Development grants.
• Promote funding resources to Dartmouth students on a termly basis.
• Update and manage application materials online.
• Create and manage a file sharing system for uploading and tracking student materials.
• Collect and track all required paperwork for funding requests on a termly basis.
• Update and monitor funding balances on a termly basis.
• Issue checks and coordinate payment directly with the Finance Center.
• Coordinate a termly funding review session for committee members and communicate funding outcomes directly to students.
• Communicate with campus stakeholders on matters related to funding (i.e. Financial Aid, Provost's Office, OVIS , and other funding centers/departments, etc.).
• Meet termly with funding coordinators in the Center for Professional Development and Dartmouth Center for the Advancement of Learning.
• Prepare a termly and annual executive summary that details funding application outcomes.
• Request, organize and disburse post-experience reports to appropriate contacts.

Communication
• Creates, prepares and sends a variety of communications to students, upon request, to promote opportunities, deadlines and programs for both advising and employer relations.
• Builds relationships with students, with a goal of helping them feel more confident, prepared and self-sufficient.
• Communicates instructions associated with personality and interest inventories and coordinates the scheduling of students for the interpretation and follow-up.
• Supports website maintenance.

Information/Records Management/Technology
• Efficiently and simultaneously operates several records management and communications/marketing systems, including Outlook appointment scheduling, DartBoard job posting/communication system, Excel, and telephone system.
• Tracks all constituent inquiries, communications and produces termly report.
• Assists with preparation/compilation of surveys.
• Inputs all advising, drop-ins, workshop, and face time evaluations; generates reports on each when needed.
• Checks advisors' calendars routinely for appointment availability.
