Key Accountabilities

Key Accountabilities

General Office Support (40%)
Provides general office support, as needed. Responsibilities may include recording minutes of committee meeting discussions and assist with scheduling and setup of office activities and events.
Independently manages and organizes the activities associated with Guarini Executive Director.
Manages and controls the schedules for the Executive Director, diplomatically handles internal and external requests, screens and evaluates visitors and calls and redirects inquiries appropriately.
Assists with processing of routine term distribution of information for students, parents and faculty.
Drafts and proofreads memos and correspondence for supervisor review.
Reviews student health forms, informing Institute staff of special health issues or other non-routine issues.
Primary point person for support letters for outgoing students.

Information Management (40%)
Collects, scans and files forms returned by students and faculty.
Maintains system to track missing/delinquent forms. Communicates with participants to ensure timely submission of required participant forms and materials.
Assists the Executive Director in managing the workflow of the Guarini Institute by maintaining a database of all official agreements, coordinating necessary review and administration of institutional agreements, MOU's, and agreements with third-party providers.
Collects and updates emergency contact information from faculty, staff, students and local partners, and distributes to key campus constituents.

Communication (20%)
Responds to a range of inquiries and concerns from faculty, students, parents, and offices internal and external to the College regarding program content, policies, procedures, and activities.
Communicates respectfully with a diverse community.
