As a key member of the Building 7 Manufacturing Plant team, the Administrative Coordinator (AC) will be primarily responsible for complex administrative support activities, supporting the Building 7 Executive Director/Plant Manager and the Building 7 leadership team in the Manufacturing and Clinical Supply Organization. The role of the Administrative Coordinator is to perform a variety of complex administrative support activities; to assist in report generation as requested; to facilitate tracking of deliverables and timelines as directed; and to lead the coordination of meeting logistics, minutes and other duties as assigned. Manufacturing and Clinical Supply is responsible for delivering innovative clinical and commercial medicines to patients worldwide to ensure every patient, every study, every time.

Key responsibilities include:
  • Proactively lead Executive Director's meeting calendar with multiple priorities. Identify conflicts and creatively resolve.
  • Handle multiple priorities in a fast-paced, continually changing environment
  • Coordinate complex travel arrangements (international and domestic), prepare itineraries, and process expense reports in a timely manner
  • Coordinate functional processes such as invoicing and purchase orders.
  • Assist with the preparation of presentations (including Powerpoint), meeting agendas and action items as required
  • Maintain department distribution, contact and personnel lists
  • Participate as an active team member, working both independently and in collaboration with other team members, to complete projects and assignments in a timely manner.
  • Assist with planning of meetings and other staff events including scheduling, logistics (catering, tele/videoconferencing, agenda management, meeting minutes), execution for staff events; assist in creating experiences that enhance staff engagement
  • Coordinate and schedule plant tours for VIP and Amgen staff including the proper use of Personal Protective Equipment (PPE)
  • Coordinate interviews for job openings in the Building 7 manufacturing plant
  • Assist with onboarding/offboarding activities for staff
  • Communicate key business and critical information to the Building 7 staff as directed
  • Lead the administrative aspects of relationships with outside specialists and vendors
  • Perform other administrative duties as assigned


Basic Qualifications

Associates degree and 2 years of administrative experience

Or

High school diploma / GED and 4 years of administrative experience

Preferred Qualifications
  • Personable, pro-active, effective, teammate with a can-do attitude and a highly organized, solution-oriented approach
  • Self-motivated and resourceful to follow tasks through to completion with minimal guidance
  • Experienced and proficient with all current Amgen technologies and platforms
  • Amgen experience and 5+ years of experience in an administrative support role
  • Strategic problem solver who likes to "think ahead" and anticipate solutions to logistical issues
  • Ability to work in a fast paced, deadline driven environment and the ability under pressure to prioritize projects of greater urgency and importance
  • Discretion in dealing with proprietary information
