This is an in-person on campus, non-remote position.

The Academic Program Specialist works within the School of Arts and Humanities, Deans Office and directly reports to the Assistant Dean. This position works closely with the Deans office staff and faculty to support students, manage ARHU events, maintain the Schools website, and provide operational support to the Senior Curriculum Advisor. This position is 9:00 am to 5:00 pm and occasional weekends.



Responsibilities:

Supports Deans office and Program Chairs/Directors:

  • Greets, directs, and answers questions from students, faculty, staff, and outside visitors
  • Assists the Senior Curriculum Advisor with course scheduling materials, such as schedule adjustments and with the review of course listing information
  • Establishes and maintains cooperative and functional working relationship with the Registrars Office, Center for Academic Advising, Admissions, and other offices to assist Program Chairs and Directors

Supports faculty:

  • Handles all faculty class cancellation notices and tracks cancellation of courses per semester
  • Communicates with the Provosts Office about faculty office moves and handles all administrative aspects of office moves
  • Collects syllabi and CVs from faculty and creates an archival system for tracking information
  • Handles faculty inquiries about programs, student concerns, and other miscellaneous questions or concerns
  • Collaborates with the Senior Curriculum Advisor and supports the faculty workload process in Banner

Supports students and provides other related services to students:

  • Meets with students one-on-one to discuss student concerns, researches and assesses individual student concerns, and presents findings to Assistant Dean
  • Assists with student questions and concerns regarding registration, drop/add, course cancellations, and Degree Works issues relating to degree requirements
  • Participates in Orientation programs, advises students one-on-one with course registration and degree requirements
  • Support Stockton Universitys diversity commitment and strong student-centered vision and mission

Supports Enrollment Management and other Admission initiatives:

  • Assists with new student recruitment by providing information to prospective students and their families
  • Communicates with Admissions about Open House, Instant Decision Day, and other recruitment events
  • Coordinates the set-up and attendance list of faculty and staff participating in Open House and other recruitment events

Data collection and analysis:

  • Handles all aspects of the processing and tracking of internship/independent study forms and communicates with students, faculty, Bursars office, and internship sites
  • Generates various Argos reports related to faculty workload, program majors/minors, as per the Assistant Dean or Deans request
  • Assists the Senior Curriculum Advisor in investigating and tracking data and creating reports on faculty workload and enrollment trends

ARHU website and other marketing materials:

  • Develops new concepts and layout of content for ARHU website and posts updated content to web pages
  • Interviews faculty, students, alumni, and staff to generate content for web page
  • Coordinates with Graphics staff on updates, content development, maintenance, and design of ARHU web page
  • Manages ARHU event calendar on Outlook
  • Assists in the development of promotional and marketing materials
  • Proofreads and edits programs, flyers, posters, and any advertising material for academic programs and events


Qualifications:

Required Qualifications:

  • Minimum of a Bachelor's degree
  • Professional experience working with students and faculty
  • Strong interpersonal skills, ability to work independently and on teams in a highly collaborative environment
  • Ability to manage multiple projects and priorities while maintaining attention to details
  • Excellent oral and written communication skills
  • Tech savvy and proficient use of Excel, Google Sheets, Microsoft Office Suite, and Qualtrics
  • At least 2 years of experience in a student-focused office environment

Preferred Qualifications:

  • Earned Masters Degree
  • Ability to produce data-rich reports and strong proficiency in using various system tools
  • Extensive experience with event planning and marketing of programs (e.g., social media, website, etc.)
  • Deep willingness to learn new systems as projects require
